Illustrative - your dashboard reflects your own buildings.
Made for the people who run blocks
One product, sized for a single building or a whole portfolio.
Managing agents
Your whole portfolio, in your own brand
Every client, building, flat and lease in one workspace, with repairs, works, compliance and accounts handled the same way across the portfolio. Residents, directors and contractors sign in to portals on your own domain, so every interaction carries your agency's name.
RMC and RTM companies
Run your own block with confidence
Directors who manage their own building get the same tools as a professional agent: demands with the right statutory wording, a Section 20 workflow that tracks every deadline, a compliance register, approvals and a board report - from £49 a month for up to 50 units.
Everything your team needs, day to day
A complete staff workspace for running buildings, from the first repair report to the year-end accounts.
Buildings, flats and leases
Buildings, flats, leases, people and clients in one place, with each flat's share of every budget held against its lease.
Repairs with targets
Every repair carries a priority and a target date, so the team can see what is due and residents can follow progress.
Works orders, checked
A contractor's insurance is checked before instruction, and an inspection sign-off - on site or by photos - comes before the invoice is approved.
Planned maintenance
Recurring work scheduled for each building, so servicing and inspections arrive on time.
Compliance and building safety
A compliance register per building in red, amber and green, plus Building Safety Act higher-risk buildings (18m or 7 storeys) and their safety records.
Keys and access
Keys and access codes recorded per building, with ID checks and every code reveal logged.
Complaints
Each complaint tracked against its acknowledge and respond deadlines, from first contact to resolution.
Messaging
Contact residents, directors and contractors by email, SMS or letter, all from one place.
Full audit trail
Every change, approval and payment recorded against who made it and when.
Major works
Section 20 consultation, guided step by step
Each consultation follows the statutory stages in order: the notice of intention, a statement of estimates with at least two quotes - one from an unconnected contractor - and then the award with its notice of reasons.
Every 30-day observation period is tracked from the date each notice goes out, so the next stage opens on time and the file shows exactly where each consultation stands.

Service charges and accounts, handled properly
From budget to demand to year-end, with clear controls on every payment that leaves the account.
Income
Demands, collection and arrears
- Demands from budgets - service charge, reserve, major works, balancing, administration charge and ground rent demands, raised by each flat's share.
- A ledger per flat - every demand, payment and credit on one clear statement, which residents can see in their portal.
- Pay online - Direct Debit and instant bank payment through GoCardless, with zero added fees for residents.
- Bank statement import - upload CSV or OFX and payments match automatically by payment reference.
- Arrears with aged bands - polite reminders go out automatically, and pause while a payment plan is in place.
Spending
Invoices, approvals and payment runs
- Supplier invoices - recorded against the building, and approved once the work is signed off.
- Director approval - spending above a limit you set goes to the directors for approval in their portal.
- Two-person payment runs - one person prepares, another approves, then export to BACS.
- Bank detail call-backs - a contractor's changed bank details are verified by call-back before the next payment.
- Budgets and year-end - balancing charges and credits worked out from the actual figures.
The law, built in
The right wording and the right dates, every time
Leasehold law sets out exactly what a demand must contain and when notices must be served. Estates puts that into every document it produces, so your team can focus on the building while the paperwork stays correct.
It follows the rules for England and Wales, with bilingual summaries for buildings in Wales.
- Summary of rights - the statutory summary on every service charge demand (Landlord and Tenant Act 1985, s.21B).
- Landlord's name and address - on every demand (Landlord and Tenant Act 1987, ss.47-48).
- Ground rent notices - issued under s.166, between 30 and 60 days before the due date.
- 18-month alerts - a warning before costs pass the s.20B time limit.
- Section 20 - each consultation stage and its 30-day period tracked.
- Building Safety Act - higher-risk buildings flagged, with their safety records kept together.

Who is Noviqent Estates for?
UK managing agents running leasehold blocks for their clients, and residents' management companies (RMC) and right to manage companies (RTM) that run their own block. Agencies get every building in one workspace; self-managed blocks get the same tools sized for a single building.
Which parts of the UK does it cover?
Buildings in England and Wales. The statutory wording on demands and notices follows the law for those two nations, and Welsh buildings get bilingual summaries of rights.
How do residents pay?
Online through GoCardless, by Direct Debit or instant bank payment, straight from the resident portal. Residents pay exactly what they owe, free of added fees. Bank transfers by payment reference are matched automatically when you import your bank statement.
Are the portals an extra cost?
Every plan includes all three portals - residents and leaseholders, directors, and contractors - with sign-in by email and password or Google.
Can it carry our own brand?
Yes. Each agency runs Estates on its own domain, in its own brand, so residents, directors and contractors see your name throughout.
How does Section 20 consultation work?
Estates guides each consultation through the notice of intention, the statement of estimates (at least two, with one from an unconnected contractor), and the award with its notice of reasons, tracking every 30-day period so each stage starts on time.
Can you move our existing data across?
Yes. Set-up and data migration is available from £500, and we will agree the scope with you before we start.
Where is our data held?
In the UK. Staff sign in with Noviqent single sign-on, and every action is recorded in a full audit trail.
