What an accounting firm actually needs beyond bookkeeping software

25 August 2026

Accounting software answers one question well: are this client's books accurate and up to date? It doesn't answer the questions a practice actually runs on day to day - which prospective clients are in the pipeline, what stage each client's onboarding is at, where their engagement letter and ID documents are filed, and which of forty-plus clients has an outstanding query sitting in someone's inbox.

That second set of problems is a CRM and practice-management problem, not an accounting one, and treating it as an afterthought inside bookkeeping software is usually why practices end up running a second, disconnected system - a spreadsheet of prospects, a shared inbox for client queries, a folder structure for documents - alongside the accounting platform itself.

A combined CRM and practice management approach puts client relationships, onboarding checklists, document storage and e-signatures, time recording, and the accounting ledger itself on the same record - so a practice manages new client acquisition, engagement and delivery as one connected workflow, with practice mode giving one login oversight across every client organisation, scoped by role.

The distinction matters for how a firm should actually shop: accounting software alone solves bookkeeping; a practice needs bookkeeping plus the CRM and workflow layer that runs the firm itself, which is a materially different (and larger) buying decision.

Frequently asked questions

Isn't this just accounting software with a different name?

No - it combines the accounting ledger with CRM (prospect and client pipeline), document management, e-signatures and workflow, which plain accounting software doesn't cover.

Do we need a separate CRM if we already use practice accounting software?

Only if that accounting software doesn't already include client relationship management, onboarding and document workflow - which most dedicated bookkeeping platforms don't.

Can this replace our current client onboarding spreadsheet?

Yes - a structured, repeatable onboarding checklist replaces an ad hoc spreadsheet or email-thread process, visible to everyone involved rather than owned by one person's inbox.
