What a genuine double-entry ledger gives you that a spreadsheet can't
26 August 2026
A great many small businesses and sole traders run their books on a spreadsheet or a simplified expense tracker for longer than they should, because the step up to "proper" accounting software feels like it's built for a much bigger operation than theirs. The gap that actually matters isn't size - it's whether every entry is checked for balance before it posts, the way a genuine double-entry ledger works and a spreadsheet fundamentally doesn't.
A real chart of accounts - seeded from a UK SME default template and fully editable - means every invoice, bill, and bank transaction carries its own account and VAT category from the moment it's entered, not reconstructed later at return time. Bank reconciliation via CSV or OFX import matches or creates transactions against that ledger directly, clearing the list to zero rather than leaving a gap someone has to explain at year-end.
The payoff shows up at reporting time: a 9-box VAT Return formatted exactly as HMRC's own return, a Self Assessment prep report matching HMRC's SA103/SA105 boxes, and CIS300 returns for construction trade clients, all generated from the same ledger rather than assembled by hand from a spreadsheet. Direct HMRC submission under Making Tax Digital is in testing, starting with VAT, rolling out as an opt-in feature once live.
For a bookkeeping or accountancy practice specifically, the same ledger runs in practice mode: one login managing many client organisations, with Owner, Admin, Accountant, Bookkeeper and Viewer roles scoped per client - the same "one person managing several client sets of books" shape any practice already expects, without a separate account per client.
Frequently asked questions
Is this suitable for a sole trader, or only limited companies?
Both - the chart of accounts is seeded from a UK SME default and works for sole traders and small businesses doing their own books, as well as limited companies.
Can an accountant manage several clients from one login?
Yes - practice mode lets one login manage many client organisations with role-based access (Owner, Admin, Accountant, Bookkeeper, Viewer) scoped per client.
Does it connect to HMRC directly?
Direct HMRC submission (Making Tax Digital) is in testing, starting with VAT. Today, VAT, Self Assessment and CIS300 reports are generated ready for manual filing.
